What silent disco hire actually costs in Australia

What determines the price of a silent disco or wireless headphone hire quote in Australia — group size, days, freight, microphones — plus the real purchase prices and where buying overtakes hiring.

Hire pricing depends on five things: how many headphones, how many days, where it’s going, whether you need a microphone, and which headphone style. Nobody can quote you honestly without those five answers, and any supplier publishing a single per-headphone rate is either quoting their best case or building the unknowns into a margin you pay for.

What we can do is tell you exactly what moves the number, what the fixed costs are, and how to work out whether you should be hiring at all.

The five things that set your price

1. How many headphones

The single biggest factor, and not linear. Ten headphones and a transmitter is one case and one handling charge. Two hundred is a pallet, a bigger charging setup, and a different freight class. The per-headphone cost usually falls as the number climbs, which is why “what’s your rate per headphone?” is a question that can’t be answered in isolation.

Work on one headphone per person, plus a few spares. For a 50-person event, quote 55. Someone always turns up unannounced and someone always sits on one.

2. How many days

A standard quote covers a single-day event. Equipment arrives a couple of days early so you can open the case, connect your music and have a proper play — that lead time isn’t charged as extra hire days.

Running a three-day conference or a week of school incursions? Say so up front. A multi-day run is priced as a run, not as three separate single-day hires stacked on top of each other.

3. Where it’s going

Freight is the variable that catches people out. It’s charged on size and weight to your postcode, and it genuinely varies — a Gold Coast delivery and a Broome delivery are not comparable numbers.

This is where the compact headphones earn their keep. Three Pro-Gen headphones fold flat into the space one LED headphone occupies, so a ten-headphone Pro-Gen kit ships in a single case one person can carry. On a large order, the freight difference between compact and LED is not a rounding error.

Have your postcode ready when you enquire. Without it, any quote you receive is missing a component.

4. Whether you need a microphone

If someone needs to speak — an instructor, a guide, a celebrant, an MC — you need a microphone transmitter. It mixes a voice into the music automatically, so the music keeps playing underneath while the person talks. No mixer, nothing to patch together.

Most people don’t realise they need one until the day. A yoga class, a walking tour, a school induction and a wedding ceremony all do. A straight dancefloor doesn’t.

5. Which headphone style

Two options, and they’re priced differently because they are different products.

Pro-Gen run two channels. Compact, fold flat, lighter to ship. The workhorse for training, classrooms, tours, translation, yoga and anywhere the headphones aren’t the point.

Glow LED run four channels with a large illuminated channel indicator you can read across a dark dancefloor. Bigger, heavier, more to ship — and unbeatable for a party, where seeing the room split across four DJs is half the entertainment.

For anything that isn’t a party, Pro-Gen is usually both cheaper and better suited.

The costs that are fixed, and published

Three numbers don’t move, and it’s worth knowing them before you enquire anywhere.

A 20% deposit secures your booking, with the balance due 14 days before your event. Deposits are refundable up to 14 days out. After that the gear has been set aside for you and the balance stands.

$85 per headphone that comes back damaged or doesn’t come back at all, plus the cost of any other missing equipment. It’s a replacement cost, not a penalty — but it’s worth telling whoever’s running your event, because that’s the number that turns a good night into an unexpected invoice.

We’ll beat a written quote by 5%. Send a comparable quote from another Australian supplier for like-for-like equipment and dates, and the number comes back 5% under it. That’s the closest thing to a published rate we offer, and it’s deliberate: it means you don’t need our price list to know you’re not being overcharged.

When buying beats hiring

Purchase prices are published in full, and they’re the fastest way to sanity-check a hire quote.

Kit Price (inc GST)
10 wireless headphones only $849
10 headphone kit with 2 transmitters $967
Group Trainer 10 bundle with mic transmitters $1,400
Microphone transmitter, on its own $225

The crossover is simpler than people expect. If you’re running the same thing more than twice a year, buying usually wins — and from then on the equipment costs you nothing but storage.

A fitness studio running a weekly outdoor class, a school with a termly excursion programme, a tour operator with a daily route: all of those are buyers, not hirers, and they usually work it out after their third invoice.

A wedding, a one-off product launch, a single conference: hire. There’s no sense owning ten headphones for one Saturday.

If you’re genuinely unsure, ask for both quotes. It’s a five-minute job at our end and it tells you where your own crossover sits rather than where the average one does.

What a real quote needs from you

Four lines in an email is enough to get a fixed price back, usually the same business day:

  • Group size — roughly is fine
  • Date — and how many days
  • Delivery postcode — the four digits
  • What you’re running — a class, a tour, a party, a conference

That last one matters more than it sounds. “Forty people, 19 September, 4217, splitting a yoga class into beginners and advanced” gets you a better-specified quote than “40 headphones”, because it tells us you need two channels and a microphone, and that a compact headphone will suit you far better than an LED one.

Why the rates aren’t on this page

Because a single published number would be misleading in both directions.

Quote a low per-headphone rate and it’s a best case that unravels once freight and days are added. Quote a high one and we’ve talked ourselves out of jobs we’d have been the right supplier for.

What we’ve published instead is everything that determines the number, the fixed costs that don’t move, the purchase prices in full, and a commitment to beat any comparable written quote by 5%. Between those, you can judge whether a quote is fair before you receive it — which is the actual thing people want when they ask about price.

If you’d rather just talk it through, call 1300 474 536, Monday to Friday, 9am–5pm AEST. You’ll get someone who knows the equipment, and who’d rather talk you into the smaller kit if that’s genuinely what your group needs.

Tell us the group size and the date. We'll price it today.

Fixed-price quotes, usually back the same business day, from the person who'll pack your case. No account to set up, no obligation — and usually less than people expect.
